Receptionist and Office Coordinator

About the opportunity
We are delighted to be working with a highly regarded boutique law firm to find their next Receptionist and Office Coordinator. This firm is known for its high standards, close-knit team culture, and genuine investment in its people, in fact, this vacancy has come about as a direct result of an internal promotion. This is a wonderful opportunity for someone who takes pride in being the best at what they do and understands the important role front-of-house plays in shaping a client's experience of a firm.

The role
You will be the first point of contact for clients and visitors, managing front-of-house with professionalism and warmth. Along with welcoming clients and answering calls, some of your day-to-day responsibilities will be:

  • Booking and preparing meeting rooms, and keeping shared spaces stocked and tidy
  • Ordering and collecting catering and coffees
  • AV setup and troubleshooting
  • Organising client and staff gifts
  • Document management, including scanning and inputting Deeds
  • General office coordination, including arranging office repairs as needed
About you
This firm is looking for someone who brings genuine energy and polish to everything they do. The ideal candidate will be confident, composed, and take real satisfaction in keeping things running smoothly, you will see every interaction as an opportunity to make a great impression. Ideally you will be:
  • Well-presented with a warm, professional presence at front-of-house
  • A confident communicator, equally at ease on the phone and in person
  • Highly organised with the ability to manage competing priorities without missing a beat
  • Proactive and resourceful, someone who anticipates needs rather than waits to be asked
  • Comfortable holding the fort independently and taking ownership of the reception
  • Experience in a professional services environment is an advantage, though not essential
The previous receptionist has been promoted within the firm, a great reflection of the culture here. The successful candidate will receive a thorough handover and training from them directly and will have the ongoing support of a highly engaged Practice Manager.
